Achievements towards Outcome 4

Records
We provide branches with the record keeping services they need to respond to requests for information and ensure that appropriate records are maintained to meet business, accountability and regulatory requirements. Providing our highly qualified analysts with the best and most recent information allows them to make informed recommendations about the management of our State.
Electronic Document Management System Upgrade
We set up infrastructure to provide access to the new Electronic Document Management System (EDMS) in our central sites and smaller offices. This will allow Treasury branches and the Treasurer’s Office to use the EDMS to improve their management of information.
This year the implementation of the EDMS was completed in a small number of pilot branches allowing the EDMS team to refine their change management and training program to ensure a smooth transition for the rest of the Department.
Research
The Librarian provided valuable research for initiatives of key importance to our community, including the Demographic Change Advisory Council and the Water and Sewerage Project.
Upgrade of all desktop computers
This year we completed an upgrade to all the desktop computers in Treasury. Following the upgrade, all staff now use Microsoft Windows XP and Microsoft Office 2003. This upgrade improved the performance and reliability of our desktop computers and allowed us to manage our PC fleet more effectively.
Basement upgrade
We undertook general upgrading and waterproofing of the Franklin Square basement to create a suitable storage area for records, furniture and equipment.
Business One
This year we implemented a new internal budget management system, Business One, to improve the effectiveness and efficiency of our internal budget processes.
Business Risk Review
We undertook a comprehensive review of risks to our business in order to ensure that we can continue to manage these risks in the most effective way.

Next year’s aims
We will:
- Complete the implementation of the Electronic Document Management System allowing easier collaboration between staff and information to be managed more efficiently.
- Complete the Integrated Communications Project to frame the Department’s internal and external communications.
- Improve access to electronic publications and encourage collaborative acquisition and sharing of published information used for research.
- Undertake a major upgrade to the Department’s internal financial management system, Finance One, in order to make the most of the improved system.
- Upgrade the servers used to host the major corporate databases we use in Treasury. This will improve performance and capacity as well as our capability to recover quickly in the event of a disaster.
