As the Branch responsible for information management we are always looking for ways to improve the performance, efficiency and reliability of our processes and systems.
Our major achievement for 2007–08 was the successful implementation of the electronic document management system, TRIM. This allows us to easily collaborate and share information across the Department. As part of the implementation we reviewed all of our information management policies and procedures to ensure that they were practical and useful in the new electronic environment, and that they complied with legislation.
As part of the Integrated Communications Project, we updated the way we present information to ensure Treasury publications have a consistent and recognisable look. This was done in consultation with a staff reference group. Our website now shares similarities with other government websites, making it easier for users to recognise government services and find their way around.
Day-to-day requirements for information continued to be met, with records staff efficiently providing our colleagues with files and documents. Our Librarian facilitated easy and targeted access to information through the library online catalogue and alerting services. The use of a state-of-the-art inter-library loan service allows staff to obtain publications not available on the Internet.
Maintaining the security of information is a high priority for the Department. We have instituted rigorous procedures for managing and using information in both hard copy and digital formats. These procedures are regularly reviewed.
The benefits of our new electronic document management system will come to the fore in 2008–09 with improved access to information. We will investigate extending its use to managing information on our intranet and through the scanning of documents.
The Librarian will continue to adapt collection management policies and practices to new business needs in line with Treasury priorities.
We will also update our information security policy and practices to reflect changes that were made to the Tasmanian Government Information Security Guidelines in 2007–08.
During 2008–09 we will review and update the way we manage information on our intranet.
